How Rental Car Nights/Days Calculations are Made In Tourwriter
Rental Car Booking by Day
Generally, rental cars are booked by the day, in a 24 hour blocks.
EXAMPLE ONE
A rental car is booked on the 20th for 5 days. In this example the pick-up time is 8am on the 20th and the drop-off time is 5pm on the 24th.
Day 1 – 20th (8am – 5pm)
Day 2 – 21st (8am – 5pm)
Day 3 – 22nd (8am – 5pm)
Day 4 – 23rd (8am – 5pm)
Day 5 – 24th (8am – 5pm) drop-off day
To enter the above car rental booking in Tourwriter, you would use the Nts field to calculate the number of DAYS the client will be charged.
Tourwriter will treat the dates of your rental car booking, just like it would an accommodation booking. i.e. IN on the 20th for 5 nights gives us an OUT date of the 25th.
Night 1 – 20th
Night 2 – 21st
Night 3 – 22nd
Night 4 – 23rd
Night 5 – 24th
Day 6 – 25th is the calculated drop-off day. (Tourwriter adds an extraday to the booking).
To overcome this, the number of [Nts] must be changed in the booking so that thecorrect pick-up and drop-off dates show in the quote/final documents, and the correct number of Nts/Days appear in pricing documents.
To Override the Drop-off Date
- Check the tick-box next to the original drop-off date
- Change/override the drop-off date to the correct drop off date (in this case the 24th)
The original number of Nts/Days in the booking remains, and Tourwriter will show the correct pick-up and drop-off dates.
EXAMPLE TWO
Again, a rental car is booked on the 20th for 5 days.In this example the pick-up time is 3pm on the 20th and a drop-off time is around 3pm on the 25th.
Day 1 – 20th – 21st (3pm – 3pm)
Day 2 – 21st – 22nd (3pm – 3pm)
Day 3 – 22nd – 23rd (3pm – 3pm)
Day 4 – 23rd – 24th (3pm – 3pm)
Day 5 – 24th – 25th (3pm – 3pm) drop-off day.
Tourwriter calculates it as per the following:
Night 1 – 20th
Night 2 – 21st
Night 3 – 22nd
Night 4 – 23rd
Night 5 – 24th
Day 6 – 25th is the calculated drop-off day.
In the above example the Tourwriter calculation is correct and no editing is required.
